How to fill last-minute cancellations

A same-day cancellation starts a countdown: the slot is perishable inventory, worth full price for a few hours, then worth nothing. Refilling it is a speed game, and speed comes from having the plays ready before you need them.

Play 1: The waitlist text (fastest, highest hit rate)

Keep a running note of everyone who wanted a time you couldn’t give: name, number, what they wanted. The moment a slot opens, text the matches: “A 3:00 opened up today — want it? First to reply takes it.” Two minutes, and the reply rate is high because these people already asked.

Play 2: The story blast

No waitlist match? Instagram story: “⚡ 3:00 TODAY just opened — book it here” with your booking link. Time-boxed scarcity performs; your regulars watch stories precisely for this. The slot books itself through the link, so whoever taps first genuinely gets it — no comment-section refereeing.

Play 3: Pull tomorrow forward

Scan tomorrow’s bookings for a client who’d plausibly come today instead: “Ana, a slot opened today at 3 — want to come today instead of tomorrow?” You haven’t gained an appointment, but you’ve opened a tomorrow slot that has a full day to sell instead of four hours.

Make cancellations arrive earlier

The best last-minute cancellation is the one that happens the day before — your reminder text is what surfaces it. “Reply if anything changed” converts silent no-shows into early cancellations you have a whole evening to refill.

Should I discount the open slot?

Not by default — waitlist and story demand usually fills it at full price. Discount only in the final stretch (within ~2 hours), and prefer framing with a reason: “short-notice slot” reads fair; visible desperation trains clients to wait for it.

How do I keep a waitlist without software?

A pinned note on your phone works: name, number, what they wanted, when they asked. The discipline that matters is writing every “sorry, that day’s full” into it — that sentence is you meeting your future waitlist.
